Preparing Digital Visual Submissions for Moderation

Teachers and Principals' Nominees are asked to bear the following considerations in mind when preparing visual submissions for moderation.

Student or performance identification

Please present only the performances or work to be moderated.

Format

Use only CD-R or DVD-R disks. Be sure (i.e. test that) the disk can be read in another device.

If using a DVD-R, please specify if it is used as a Video disk or as a Data disk.

Do not send Blueray discs, Hi8, DV or MiniDV tapes, or HD files.

Other technology such as USB flash drives, YouTube , etc. are not suitable due to high security and virus transmission risks.

File Format Type

The following file format types are acceptable:

  • Static image formats:
    • JPEG Image Format (.jpg, .jpeg, .jpe ...)
    • Graphics Interchange Format (.gif)
    • PSD (Photoshop files)
    • Portable Document Format (.pdf)
    • Powerpoint (.ppt, .pps)
  • Moving image (video) formats
    • .wmv
    • .mpg
    • .mjpeg
    • .avi
    • .mov

Other graphics formats may not be able to be read.

Apple Macintosh users must ensure submitted files can be read easily on a PC, except in the case of Media Studies.

For Media Studies, PC users must ensure submitted files can also be read easily on an Apple Macintosh.

Other File Formats for Media Studies

Images:

  • TIFF (full resolution) images
  • EPS
  • PSD (Photoshop files)
  • PDF files at print resolution (200-300 dpi), not at compressed screen resolution (72dpi).

Audio

  • .AIFF or .WAV file format at 44.1khz sampling rate

Multimedia or Web or Screen Presentations

  • Send web sites or pages and blog files as HTML or as colour printouts/ PDF files
  • Where interactivity is a feature, please include web links to original pages/sites if possible
  • RGB colour mode (or web palette if for web products)
  • Full screen display (at least 640 x 480 pixels, preferably larger)
  • Images/animations included may be in any of the usual screen/web formats (.jpeg, .gif, Flash etc) at 72 dpi

Print Media

  • Images/documents should be at actual size of the original document (A5, A4, A3, Broadsheet, Tabloid, etc.)
  • Images/documents should be at least 200dpi (preferably 300dpi) resolution
Colour documents must be provided of all images/documents created in colour, and in the correct colour format for print (CMYK).

Quality

Use new, previously unrecorded tapes, DVDs or CDs. To ensure the material is readable, it is recommended to try it on a machine other than the one the recording was made on before sending it for moderation.

Damage

To avoid damage to tapes, DVDs or CDs, schools are asked to package materials carefully in bubble-wrap or similar packaging for transport to the moderator.

Please note that the cover sheet (opposite) is to be used with visual submissions. The cover sheet checklist will help teachers to prepare and moderators to understand visual submissions.

Student identification

Use the Student Identification for Visual Submissions for NQF Qualifications form (opposite) to clearly identify the student whose work is to be moderated.

Strategies for successful identification on the videotape, CD or DVD itself include:

  • a personal introduction
  • a voice-over introduction of the student
  • placing all of each student's work in a folder named after the student eg 'Sarah'. Each file within the folder is named and numbered to indicate the sequencing of the work eg 'Sarah1.jpg', 'Sarah2.jpg' etc
  • submitting a student's work in the form of a PowerPoint presentation which clearly sequences images as separate slides in the form of a slideshow. Written student evidence may be added as notes if PowerPoint is used.
