Timeline for Visual Arts end of year verification and marking
The purpose of this document is to provide Visual Arts teachers with a timeline/checklist for preparation of the submission of candidates' portfolios for NCEA Visual Arts 2009 levels 1, 2, 3 and Scholarship.
Visual Arts 2009 submission dates for verification and marking
For 2009 onwards, the submission date will be the date that the courier collects the relevant materials from the school. This will mean that all students have the same submission date and, therefore, the same deadline.
Level 1 Tuesday 27 October 2009
Level 2 Monday 2 November 2009

Schools should:
- Ensure the 2009 assessment specifications have been read.
- Check candidate entries. Ensure candidates for levels 2 and 3 are entered against the correct standard(s) for each field.
- Inform candidates of the submission dates.
Prepare bags for submission of levels 1 and 2 portfolios. Schools require a maximum of ONE blue bag for level 1 and TWO red bags for level 2 (one bag if only one field taught). Peel off any old courier tickets / address labels. Check for damage to bags. |

NZQA:
- Sends circular requesting schools order new art bags if required
- Sends circular to schools detailing the timelines and processes for end of year verification and marking and details for entering candidates for Scholarship

Schools should:
- Check candidate entries again.
NZQA:
- Sends materials for verification and marking by courier to all schools with Visual Arts entries.
- Sends circular to schools detailing the Illness and Misadventure process for level 3 Visual Arts. Note that the Illness and Misadventure process for Visual Arts levels 1 and 2 is determined by each school's internal policy. There is no Illness and Misadventure process for Scholarship.

Schools should:
- Check contents of the courier bag, upon receipt, against the enclosed list. Contact NZQA if anything you should have received is missing.
- Produce labels for levels 1 and 2 portfolios which are being submitted for verification. Labels should be produced on computer and show the candidate's NSN followed by the exam centre number eg 102334567-250. NSNs must be copied correctly.
Level 1
- Enter provisional results for ALL level 1 Visual Arts candidates for standard 90020. Print out a copy of the schedule for inclusion in the blue bag with the level 1 submissions. Check that the work submitted is that of the candidates listed on the schedule.
- Book the courier one week prior to 27 October 2009 for collection of level 1 submission.
- Insert address label (Walter Nash Stadium) into the clear window on the blue bag. Attach one courier ticket. Retain the 'Customer Copy' of the courier ticket for tracking, if necessary.

Level 2
Schools should:
- Enter provisional results for ALL level 2 Visual Arts candidates. Print out a copy of a schedule for each field being submitted (maximum of 2) for inclusion in the red bag(s) with the level 2 submission(s). Check that the work submitted is that of the candidates listed on the schedules.
- Book the courier one week prior to 2 November for collection of level 2 submissions.
- Insert address label (Walter Nash Stadium) into the clear window on the blue bag. Attach one courier ticket to each bag. Retain the 'Customer Copy' of each courier ticket for tracking, if necessary. If a school has candidates entered for more than one level 2 field then work for TWO fields must be submitted. Do not submit work for more than two fields.
Level 3 and Scholarship
Schools should:
- Supervise the attachment of bar coded address and serial code labels to level 3 / Scholarship portfolios and workbooks. Do not give these labels to candidates - they get lost. If a candidate's portfolio return address is incorrect then cover this with a label and write the correct address clearly.
- Not make any other changes to labels without consulting NZQA.
- Check there is no unsafe material on portfolios eg glass, sharp wire, wood, etc. This must be removed before dispatch.
- Ensure candidate portfolios are securely packaged and addressed (Walter Nash Stadium). NZQA does not pay for level 3 / Scholarship portfolios to be couriered to the venue.
- Book courier one week before 11 November for the collection of level 3/Scholarship portfolios and workbooks. Retain 'Customer Copy' of each courier ticket used for tracking, if necessary.

NZQA strongly recommends schools use CourierPost for the dispatch of level 3 / Scholarship portfolios. Other courier companies do not have easy access to the secure verification/marking venue and may be unable to deliver portfolios.
Schools should note that courier tickets (for levels 1 and 2 verification) and bar coded address and serial code labels (for levels 3 and Scholarship marking) which are sent in September are issued based on school entry data. If you do not receive the correct number of courier tickets or incorrect bar coded labels then check your entry data carefully before contacting NZQA.
It is also strongly recommended that digital photographs are taken by schools of all candidate work sent for either verification or marking. These photographs may be referred to in the unlikely event of loss or damage.
Preparation for reconsiderations
Candidates who apply for reconsiderations of their 2009 level 3 Visual Arts results will be required to provide 3 x A4 photographs (one per portfolio board) for this process.
